Hold rooms for roughly 40 percent of your guest count, split across two price points. Courtesy blocks with no attrition liability are always the first ask.
Choose one hub town
Concentrate guests in a single town — Healdsburg, Sonoma Plaza, St. Helena or downtown Napa — so shuttles run one loop instead of four. It reduces transport cost meaningfully and gets people to your welcome party on time.
